<p>Five Essential Tools that Make Time Management Easy</p>
<p>Many people find themselves feeling frustrated with their day.  Successful people will tell you that part of their success is due to great time management skills.  The more a person can get done in a day, the more successful they will be.  The key to this fact is that you must get more done, without actually feeling the repercussions of doing more.  By using time management skills, you will be doing more, but you won’t feel stressed, out of balance, overwhelmed, unsatisfied, or unprepared.  Use these five essential tools that make time management easy to get your life back on track for good.</p>
<p>Get Organized</p>
<p>Getting organized is the first step in the time management process.  It is the lengthiest step for many, so be sure to get it out of the way first.  Getting organized might mean different things to different people.  If you often find yourself sitting at a desk swamped with papers that fly around the room every time you begin searching for something, then you need to start with your workspace.  Cleaning and organizing your workspace is very important for time management.  Develop your own system of storing and filing that works best for you.  If it makes sense to you, then you will be more likely to stick with it.  Clear everything off of your workspace except for things you use daily.  Keep everything else in drawers or bins under your desk.  Once you are clear of the clutter, you will be able to move on to other time management skills.</p>
<p>Prioritize</p>
<p>A time management expert would tell you that when prioritizing your day, you should keep in mind that a good part of your day should involve important matters, but not urgent matters.  By using the other time management skills, there will be very few urgent matters in your daily schedule to worry about, so this should be no problem.  To figure out what is important for the day, take fifteen minutes at the start of each day, or at the end of the day before, and make lists of tasks that need to be worked on that day.  You can either number them by importance or group them by what must be finished that day and what should be started that day, but can be finished another day.  Carry this list with you at all times.  You may be able to make a few phone calls while in the car pool line at your child’s school.</p>
<p>Tools of the Trade</p>
<p>Having proper time management tools is essential for great time management.  Use what you feel most comfortable with.  If you love your calendar, then do not feel pressured to switch to a new computerized handheld device.  If you are thrilled with your Palm Pilot, use it like it is oxygen.  Whether you carry a calendar or a hand held device, be sure to keep them in a medium sized planner you can always carry with you.  Keep paper, a pen, and business cards in the planner as well.</p>
<p>Working Ahead</p>
<p>Allow time in your schedule for working ahead on upcoming projects.  This may be difficult to do, but you may find yourself less stressed if you attempt to work ahead instead of sitting down for four hours of television watching a night.  Although you don’t have to try this every single day, you may want to try it at least three nights a week, or on a weekend night.  It may be difficult at first because you may be trying to catch up with your new schedule, but once everything get rolling, it will be easy for you to work ahead.</p>
<p>Schedule Wisely</p>
<p>When you are scheduling errands or appointments, do so in a logical manner.  If you need to be on one side of your city, try to do all weekly errands that are located on that side of the city all in one day.  This will keep you from wasting travel time.  If you group your projects by location, you will save a bundle of time.  You may need to figure this into your prioritizing, so make sure location weighs in on your lists as well.  Try different approaches until you find the best one.</p>

<p>Five Technology Tools for Effective Time Management</p>
<p>For those with a busy lifestyle and schedule, there are several different resources and tools that can help to keep you on track. Technology has begun to produce several different devices to help you to manage your time more efficiently.  Some of the management devices will include list makers, time planning technology, organizing software, and calendars.  No matter which type of technology you choose to use, there are several different avenues that will help you to effectively manage your time.  Here are five of the top technology tools that can help you to organize your day and get off to a good start.  </p>
<p>Handhelds and PDAs.  These are handheld devices that you can put in a purse or in your pocket.  They are like small computers, and are good for allowing you to organize everything any way that you like.  These small handheld organizers will provide ways to manage your day effectively with such things as; a calendar, a list making system, and a way to send reminders to your self.  Many of the handhelds also include word document software, spreadsheets, power point presentations, photos and even MP3s.  Many also will have built in wireless technology so that you can use your internet or check your e-mail away from home.  These are great devices to take anywhere with you and use as an organizing tool, instead of the paper and pencil.  </p>
<p>Palm Portable Keyboard.  This device allows you to enter text into a small device that is much like a computer.  This will open into a full size keyboard, with a handheld like device at the top of it.  It will then fold neatly so that you can fit it into a smaller area and take it with you.  This is another technology device to use when you need to make lists, goals, appointments, or keep track of the time that you need to do things.  </p>
<p>Life Balance.  This is a software tool that you can download onto your computer.  It helps you create lists as well as set goals to get certain things done.  Through entering your goals, your lists, and you’re desired times, the software can then calculate what you need to get done each day. This is a technological device that helps you to learn about what you can do to improve your time management.  If you need help making plans or coming up with strategies then you can use this to help set your goals.  This software program can become a tool much like a life coach that helps you to keep on track with your time management.  </p>
<p>Plans Plus.  This is another type of software that you can use for your computer.  It can be downloaded onto any computer that has Microsoft Outlook or Microsoft XP, and is also available for your handheld device.  It comes in two different types of software programs, depending on the type of system your computer is running.  It has things such as a daily task lists, appointment schedules, and a daily notes section.  It also has productivity boosting features available to let you look at the types of things you need to increase your time management.  Along with this software is a Franklin Covey training seminar that helps with time management.  Many of the features on this software highlight the important time management skills that are taught through this course.  </p>
<p>Time.  This is a different software tool that is available for time management.  It will not only help you make lists, but will also generate reports on how you are doing with your management skills. Through time registration and product sheets, you can use this program for your own personal time management skills, as well as for time management through a small company.  A free test is available on the web to see if this is right for you.</p>
<p>These are only a few of the available software and technology products that can be used for producing effective time management skills either for personal use, or for use in the office. <p>Spare Time v. Free Time</p>
<p>There is a difference between spare time and free time that many people don’t recognize.  Spare time is the time you have in between important tasks, while free time is time you have when you have nothing else to do.  Using spare time to your advantage is a great time management opportunity.  Tasks such as making phone calls can easily be done from your car or while you wait at the doctor’s office, so go ahead and get them done.  Time you have in between meetings is a great time to prepare yourself for the upcoming meeting.  Instead of staying up at night preparing, allow yourself to prepare shortly before the meeting, so you will have everything fresh on your mind.  These small time management savers will help your overall schedule quite a bit.</p>
<p>Don’t Over Commit</p>
<p>Over committing is a huge problem in families today.  Adults are taking on more than they can handle at work, while trying to maintain a happy household.  There is so much to do, that everyone gets overwhelmed.  The stress and overwhelming feeling can lead to unhappiness if left untreated. <p>If you’re in college and unable to manage your time, don’t feel bad, most adults have problems managing their time too. This new habit can change your total outlook on everything, and soon it will give you some more personal time for you to spend time relaxing, sitting back and enjoying your free time.</p>
<p>Not only will your life change, but you’ll have more time to spend on other things. Time management will also help you to become more productive when it comes to your job. Most employers appreciate employees who can tackle a time schedule. Time management will not only help with work, but your college studies as well. Here are the top five most effective management tips.</p>
<p>Plan to organize. It takes planning to organize your schedule, and there’s no better way than to buy a class planner at your local college bookstore. Classes are your top priority. Include study time, and be realistic.  </p>
<p>Make short term and long term goal lists. This would include any assignments due throughout the semester and the longer assignments due at the end of the year, such as term papers or reports. Make note of what it will take to complete your task or goals. For example, research, read and take notes, then write your paper or first draft.  Put this all in your planner for best results. Check them off as they are accomplished.</p>
<p>Know your alert time body clock. Consider when you work at things your best. Is it in the morning, afternoon or at night? Schedule your classes and study time around your best times if possible. When will you be least distracted? This may be the best study time for you.</p>
<p>Study the more difficult subjects first. All of us have subjects that don’t come as easily to us as other subjects. Devote more time to studying that subject in your study block because once behind it can be almost impossible to catch up.</p>
<p>Combine activities for maxim effectiveness. For example, if you’re cleaning your apartment or dorm rooms, put on some taped lectures, or if you’re commuting with others, take some time to go over notes, or read if possible.</p>
<p>It’s possible to effectively manage your time in college for studying, but you’ve got to develop your plan. This can take practice and lots of patience. If you still find yourself struggling after trying all of these suggestions, you might have to look at some other factors too.</p>

<p>Are you taking to many classes?</p>

<p>Get Committed – Three Ways to Kick Start your Path to Effective Time Management</p>
<p>One of the most important personal tools to effective time management and reaching your goals successfully is to be committed to the process that you have chosen to carry through with.  No matter what types of goals and plans you have set up, staying committed to deciding what you want to do is one of the most essential ways to succeed.  Here are three ways to start on your path of working effectively with commitment and time management.  </p>
<p>1.  Set a goal setting strategy.  While setting goals and time frames in which you will do them are important, this is simply the first step to actually reaching your goals and setting your time management.  This will include coming up with a strategy in which you will see the end result in the certain amount of time that you have given yourself to achieve this goal.  This is a series of actions that you will take to reach your necessary goal and to effectively manage your time.  The first thing that must be done is to see what you want the end result to be, whether it be in personal matters or in your business.  Next, is figuring out the exact amount of the goal that you want to reach first by end date.  If you want a certain business task to be accomplished, or even if you want to lose weight as personal goal, getting specific about what you want to reach is important.  You can then take this goal and figure out how much you will need to do by dividing the goal into months, weeks, days, hours, etc.  By knowing the specific amounts that you want to accomplish, you can then find out how much time you need to commit to reach your goal.  </p>
<p>2.   Evaluate your progress.  Always keep notes of what you are doing to reach your goal and the progress that you make each day.  It is important to constantly look back at the progress you have made or the failures that you have had in the expectations that you have from yourself with the goals that you have set.  This is important to do on a regular basis.  You will be able to see if you are on task with what you have set for yourself, or you will be able to see if you are falling behind with the tasks that you want to accomplish.  By constantly seeing where you are in your goals, you will be able to reset your strategy so that you can be more aware of the next steps that you need to take. Be aware of your specific time frame in order to carry out the goals that you are working on.  This will also help you to redefine the time that you will need daily in order to continue working on reaching your goal.  </p>
<p>3.   Stay organized.  By organizing your time, as well as the tasks that you have to do, not only by creating lists, etc. but also by figuring out the amount of time that you need for each task at hand, reaching your goals and managing your time will become easier.   Staying organized means having the attitude that you will accomplish the goals that you want.  The next step is to remain in control over the tasks that you have at hand.  This means constantly organizing and reorganizing in order to prioritize and know what you want to accomplish.  By keeping your goal in mind, then continuing with the different parts of the strategy through organization, it will be easier to remain committed to the process needed to meet your goals.  </p>
<p>Organizing tasks and time in order to reach goals can often be difficult and it can be easy to get off track from what needs to be done.  However, by staying committed to your goals, you will be able to reach them much easier.  Beyond this, is planning, using strategies, staying organized, and evaluating the progress that you have made.  By remaining aware of the goal and knowing how to manage your time with this, reaching your goal through being committed will become easier. <p>Learning to prioritize is one of the biggest challenges for people today.  It doesn’t matter if you work in or out of the home, prioritizing is extremely important in your daily life. By prioritizing your life, you can learn what really needs to be done immediately and what can wait until later.  Use these tips to help get you started with your new organized schedule!</p>
<p>Learn To Say “No”</p>
<p>A problem that many people have today is the inability to say “no” when asked to do something.  If someone asks you to do something for them, it does not automatically mean you must commit to doing it.  Of course, you should help others out when you have the time, but if you don’t have time, politely pass.  Unless the matter is urgent, you should never rearrange your schedule for a request from a co-worker or friend.  If you do this once, they will assume they can call on you as much as they want.  By not being able to say “no” to some tasks, you will likely over commit yourself.  Over committing will leave you completely overwhelmed.  There is no reason to get your self in this type of situation.  If you simply do not have time in your schedule to help with the task, just be honest and tell them so.  Perhaps they will be shocked at your rejection, especially if you have never said “no” to them before, but it is worth it for your own personal happiness and health.   </p>
<p>Make Lists</p>
<p>Experts will say that you should spend most of your day working on important tasks.  To do this, you must choose which tasks are important to you and which tasks can wait.  This can be tricky.  The best way to prioritize your tasks is by making a list.  Write down everything you think you need to accomplish.  Then number each by importance.  Something that may be important to you, may not be important to someone else, so this step is about personal preference.  Display your daily list in a place that you will constantly see.  This will help you stick to your daily plan.  List making may seem juvenile, but making lists actually take the stress out of jobs.  Many times when you see a task written on paper, it looks much less intimidating then when it is only floating around in your head.</p>
<p>Time Management Skills</p>
<p>Prioritizing you life also involves the use of time management skills.  Time management skills can help you accomplish more in a day, without feeling the stress of working harder.  By using simply tactics like making your phone calls while waiting to pick your child up from school, you will accomplish more.  Multi-tasking is a great way to get more done.  Some people get more stressed by multi-tasking, so if you hate the thought of it, don’t even try it.  If you feel confident with multi-tasking however, go ahead and get as much done as you can.  You will be surprised what you can do waiting in a doctor’s office or at soccer practice.  </p>
<p>Put Family First</p>
<p>When you plan your day, be sure to use your morals and personal judgment.  Prioritizing your life does not mean not including the most important aspects of your life.  You should always make time for your family first.  It may seem difficult to do this, with a million other things going on in your life.  When your family is happy however, you will find that you are happier.  Happiness makes for a more productive person.  So, be sure to add family time to your daily schedule.  Even if you can only schedule enough time to sit down together to eat dinner, you will see the rewards.</p>
<p>By getting your life in order, you will become less stressed in general.  Making lists and sticking with them is a major part of the formula.  Crossing off tasks as you complete them will help you feel like you are accomplishing a lot and push you to do more.  Using your time management skills will help your day flow smoothly, allowing you to get the most out of your time.  Putting your family first will help you stay grounded and remember what really matters in life.</p>

<p>Get into the Groove – How to Pace Yourself with Multiple Deadlines Looming</p>
<p>Time management is one of the most valuable skills a human being can learn. Our lives are structured so that we frequently have to face more than one deadline at once. With so many deadlines hanging out on our horizons, we frequently get stressed and feel unable to cope with the pressure. Effective time management skills, though, can help you pace yourself.</p>
<p>The first thing to do in order to pace yourself is to spend some time planning and organizing your schedule. While it may seem like a complete waste of time to sit around thinking about what you are going to do, it really can be time that is well spent. If you do not take this measure of time for yourself, chances are you might fail at your task. Be sure as you are planning that you do it in a way that will be effective for you. Some people like desk calendars with colors and bright pictures. Other people use the pile method. Whatever works for you, go with it.</p>
<p>Along with your planning, you should spend some time prioritizing. Some deadlines will obviously be closer than others. Those are probably the ones you need to focus your energy and effort on. Moreover, some deadlines are probably more important than others. You must decide, in an organized fashion, which deadlines are the most important and which are the closest in terms of time. Those are the deadlines that need to be at the forefront of your mind. Push the others aside while you meet the ones you have decided to focus on. As you are doing this, consider eliminating urgent short term tasks. These little guys can have some long term consequences, so getting them out of the way so you can focus on larger deadlines can be a real weight off of your mind. A list can come in handy in the prioritization process. You can make your list as often as you feel you need to. A daily list could be made each night before you go to bed or each morning as you wake up. It is important, though, to combine this with whatever other method of organization you have chosen. It is also essential to be flexible with your list, as a new deadline may crop up that has to fit in between your other deadlines. Flexibility is one of the keys to good time management. Getting frustrated when distractions crop up is a leading cause of stress. Stress, in turn, causes you less productivity. Using lists are great visual reminder tools, as when you have completed one of your deadlines, you can cross it off your list. That will certainly give you a bit of a boost.</p>
<p>When you finally get ready to start working on your deadlines, take your body into consideration. Different people work well at different times of the day. Decide when your best time of the day is and capitalize on that. If you are a morning person, get up a bit earlier, make yourself a pot of coffee, and work to your heart&#8217;s content. If you work best in the late evening, turn off the news and get going. Understanding your body is one of the best ways to pace yourself. If you enjoy working late at night, do not try to force yourself to be as productive at five in the morning as you are at ten at night. </p>
<p>Be sure when you start to work on your deadlines that you are completing them correctly the first time. Having to constantly revise your work can be annoying and counterproductive, as it can interfere with other deadlines that have cropped up. Figure out how to meet the deadline correctly the first time, and then do it, even if it means a bit more difficult work on your part. You will be glad to have completed the work well the first time so you do not have to deal with it a second time. </p>
<p>Be sure that you avoid procrastination at all costs. If you simply feel overwhelmed by a task, thinking about how overwhelmed you are will not get you any closer to finishing the task. Try breaking it into bite sized pieces. Work on it for, say, fifteen minutes at a time. Before you know it, you will have completed the task. </p>
<p>Do not forget that task completion calls for a reward session. Offer yourself a treat when you have met your deadlines. You deserve it for all of your hard work.</p>
